Step 1: Access the Recent Items Folder

To begin clearing recent items in Outlook, you first need to access the Recent Items folder. This folder is located in the navigation pane on the left side of the Outlook window. If you don’t see the Recent Items folder, you may need to add it to your navigation pane.

Step 2: Add the Recent Items Folder to the Navigation Pane

If the Recent Items folder is not visible, follow these steps to add it to the navigation pane:

1. Click on the “View” tab in the Outlook ribbon.
2. In the “Layout” group, click on “Navigation Pane Options.”
3. In the “Navigation Pane Options” dialog box, check the “Recent Items” checkbox.
4. Click “OK” to save your changes.

Step 3: Clear Recent Items

Once you have accessed the Recent Items folder, you can proceed to clear the items as follows:

1. Open the Recent Items folder by clicking on it in the navigation pane.
2. Select all the items you want to delete by clicking on the first item, then holding down the “Shift” key and clicking on the last item.
3. Right-click on the selected items and choose “Delete.”

Step 4: Remove Recent Items from the Quick Access Toolbar

If you want to prevent recent items from appearing in the Quick Access Toolbar, follow these steps:

1. Click on the “File” tab in the Outlook ribbon.
2. Go to “Options” in the left pane.
3. In the “Outlook Options” dialog box, click on “Quick Access Toolbar” in the left pane.
4. Uncheck the “Show Quick Steps” checkbox.
5. Click “OK” to save your changes.
